Conference Rates


Summer Conference Rates

Our summer conference rates are based on three plan types:

  • Room and meal package (with or without linen)
  • Room only option (with or without linen)
  • Meals only option

To qualify for UHDS summer conference rates you must be sponsored by an OSU department. Rates shown are per person, per day (adults and youth alike) for double or single occupancy, depending on space availability. As the sponsor, you'll make selections that are applicable to all conference guests in your group. A single guarantee number that you provide will be used for both housing and meal preparation activities in advance of your arrival.

For the best value, we recommend the double occupancy room and meal package, without linen. The room and meal package deal includes lodging in residence halls plus three meals per guest each weekday and two meals per day on weekends in our dining centers. You may, however, want to choose the "with linen" amenity for the convenience of participants-especially adult guests or those who travel long distances to attend your event.

For conference participants who live nearby and do not need campus housing, you may pre-arrange for commuters only to have lunch or dinner within the package. Commuters' meals (as well as visitors' and presenters' meals) are calculated at the "meals-only" conference rates, even if your group selects the housing and meal plan package.

All rates listed in this guide are U.S. dollars.

Notes: All rates are subject to change. To qualify for the summer conference program rates, on campus sponsorship by an OSU department is required. Conference housing and meal rates for UHDS department are based on per person, per day for adults and youths alike*. Conference groups who provide their minimum guarantee numbers within 2 weeks of arrival date will receive a 5% discount on the housing and dining rates. A $600 reservation fee is required to secure an on-campus housing and/or dining conference reservation for groups without an OSU billing account. A $600 cancellation fee applies to all groups who cancel conferences within two weeks of the beginning reservation date.

*Chaperones/RA/s will receive a complementary room based on the required ratio of 11 youths to 1 RA.

Reservation Deposit

A $600 reservation deposit is required to secure on-campus housing and/or dining conference reservations for groups that are not directly affiliated with an Oregon State University department or groups that do not have an established university billing account. This deposit is applied as a credit on your final conference invoice. If you cancel your reservation within 30 days of the arrival date noted on your form, you will forfeit the entire deposit.

OSU-sponsored groups with direct affiliation to the university (such as campus departments), are not required to submit an advance deposit, but a $600 fee would be assessed for cancellation within 30 days of the beginning reservation date.

Invoice Preparation and Payment Terms

We invoice the conference sponsor for housing and meals, plus any additional charges. You will receive the housing and dining services invoice approximately two weeks after you leave campus. Damage charges will follow on a separate invoice after cost estimates have been prepared for cleaning, repair, replacement, or other conference fees associated with your group's stay at OSU.

Your housing and dining services invoice is based on the two-week guarantee numbers you provide (or the participant number on the reservation sheet if none is provided). Any exception to base the invoice on a different guest count would need to be approved by UHDS in advance.

Cancellation Notification

A $600 cancellation fee applies to all groups that cancel their reservation within 30 days of the beginning conference date.

Insurance

General liability insurance is necessary to obtain when using Oregon State University's facility. Licensee shall secure general liability insurance at their own expense and keep it in effect during the term of their permit. Guidelines for necessary coverage are listed below:

  • Insurance is to cover personal bodily injury, wrongful death, property damage and contractual liability, with minimum limits of $1,000,000 per occurrence.
  • A certificate of insurance or a copy of the insurance policy shall be filed with OSU, at least one month prior to the event.
  • This insurance policy is to be issued by an insurance company authorized to do business in the State of Oregon. The State of Oregon, OSU, its officers, employees, and agents shall be included as additional insured's in said insurance policy.
