- Reservations
To reserve Peavy Lodge, be sure to call the MU ahead of time (especially if the event is to be held on a weekend) and let them know the details. They will put the space on hold for two weeks without you having an obligation. If they do not receive a definite confirmation, then the reservation will be canceled.
Events from June through September tend to book a year in advance, so if the event is to fall in this time, make sure to reserve the lodge early.

Peavy Lodge price rates are assigned according to the tiered system described in the MU Building Policy. For Recognized Student Organizations’ closed meeting, there is no rental fee.

Also note that the day after the event, the index provided will be billed. This can mean that the funds will not come out of your current budget, but your budget for the next year.
- Types of Events Peavy Lodge Accommodates
This space is ideal for groups of 100 people or less. A formal dinner for a group can hold 60-80 people.
During the summer months, hosting an informal reception is possible. If the renter agrees to rent a portable toilet at their own cost people will be allowed to be outside.
- Space Use/Building Policies
The MU has the responsibility for the administration of Peavy Lodge. The guidelines for the scheduling and use of this facility are the same as those in effect in the MU Building.
Kitchen use is allowed. Groups need to use their own BBQ, but a disposal location for ashes and coals is provided at no charge.
Guests are not allowed to wander around the grounds, only within the immediate lodge area.

Self production is possible within this space. There are no restrictions on kitchen use.

The main floor is accessible for wheelchairs and there is a small room upstairs available for changing, which is not wheelchair accessible.

Peavy Lodge Building Policy
(Important Points Highlighted in BOLD)
The Memorial Union has the responsibility for the administration of Peavy Lodge. The guidelines for the scheduling and use of this facility are the same as those in effect in the Oregon State University Memorial Union.
Groups scheduling the Lodge are entitled to use of the Lodge building, the attached deck, and the lawn immediately surrounding the Lodge. The Arboretum forest, including the Firefighter Memorial Shelter (gazebo), is an outdoor laboratory for the College of Forestry and is not available for scheduled events. Remember: this is a public access area. DO NOT BLOCK ACCESS TO ANY ROADS, PARKING AREAS, OR OTHER FOREST ACCESS.
NO OVERNIGHT USE OR CAMPING IS ALLOWED IN PEAVY ARBORETUM OR LODGE.
A Peavy Lodge reservation does not include access to the Lodge for the purpose of decorating, rehearsals, or other preparations on the evening preceding, nor the day following the reservation date. A prepaid, prearranged clean up service for $90 is mandatory for all Friday, Saturday and Sunday events, and those with an attendance of more than 29 persons. Prior notice of 48 business hours is required to provide or cancel clean up services.
The Following are the Peavy Lodge rental procedures and policies:
- The Lodge may be reserved with the Peavy Lodge Reservations clerk at the Oregon State University Memorial Union (541) 737-6252.
- The Lodge key may be picked up at the M.U. Information Desk immediately prior to the event and must be returned immediately following the event or in accordance with arrangements made with the reservations clerk or at the time the key is picked up.
- The scheduling group will assume responsibility for the facility and for the conduct of the individuals attending the event during the time the key is checked out.
- The individual who reserved the Lodge will be accountable to the Memorial Union for picking up the key, the cleaning and condition of the Lodge, for turning off the lights, locking the facility and returning the completed closing checklist with the Peavy Lodge key to the M.U. Information Desk.
- Peavy Arboretum Lodge is located on university property and is therefore subject to the same policies regarding alcoholic beverages as the campus. These policies prohibit the consumption of alcohol on the property except when the following conditions have been met:
- Alcoholic beverages limited to beer and wine may be served, but must be offered in conjunction with mandatory food items and non-alcoholic beverages.
- An insured and licensed vendor (approved by the OSU Risk Coordinator in the Contracts Administration Office) must be used to serve alcoholic beverages according to the policies established under Oregon Administrative rules 576-60-015 through 035.
- Proper insurance and OLCC license must be received by Judy Bacher (Risk Management, Kerr Administration Building), by 5pm two working days before an event or no alcohol will be allowed at that event.
- Furniture is not to be removed from the building unless prior arrangements have been made. Upon completion of an event, all furniture is to be returned to the designated storage areas.
- If the fireplace is used, renters should move all wood and coals to the back of the firebox and close fireplace screen before leaving. Users must furnish their own matches and kindling. Wood is stored in the shed on the north side of the Lodge and may be accessed with the Lodge key.
- Rental rates for the use of Peavy Lodge are as follows:

All reservations for category d) are considered tentative until full payment is received. Full payment is due within two weeks of the request for tentative reservation or the reservation will be cancelled.

Mandatory Paid Clean Up Fee for all Friday, Saturday and Sunday events, and for all events with attendance in excess of 29 persons.
- $30/hour *
Events scheduled to continue past 9:00p.m. must be prearranged and prepaid. The sponsoring organization or person will be charged $30.00 per hour for each hour of use past 9:00p.m. After hours use end time must be no later than 11:00p.m. Sunday through Thursday, and 12:00a.m. on Friday and Saturday. This includes clean up and closing time.
- When additional cleaning is required and/or repair expenses incurred resulting from events held in Peavy Lodge, such additional cleaning and repair costs, and any special or extraordinary facility use requests that we honor, will be charged to renters at cost plus 30%.
NO REFUNDS are made when confirmed (paid) reservations are cancelled.
Reservations are for the date listed only and do not include access outside of the start and end times listed or on days other than the date listed.
- The scheduling group will be charged for damage and clean up costs resulting from negligence, excessive wear and tear, or failure to accept care and clean up responsibility. Billing will be made to the individual reserving the Lodge and that individual will be accountable for such costs in the event the group is unable or unwilling to pay.
- NO OVERNIGHT USE IN FOREST OR LODGE!
- Hours of Operation: 7:00a.m. - 9:00p.m. (11pm or 12am with prearranged, pre-paid after hours use)
Available to rent all weekdays and weekends, except for scheduled maintenance.

Peavy Lodge Equipment
# of Tables: 20
Each table is rectangular and 6 feet long. Stored in a wall closet located in a tile floored room, on the same wall as restroom doors.
# of Chairs: 100
Chairs are stacking, gray metal with black vinyl pads. Stored in small room to the right as enter from the covered deck entrance.
Kitchen Appliances
Stove- top has 3 large and 3 small burners w/ regular oven
Refrigerator- stainless steel/double doors
Freezer- small 3 foot upright for ice/ice-cream
Microwave- on counter
Manual Can Opener- mounted on counter
Dishwasher- built into counter
Garbage Cans- 2 (30 gallon) and 5 (15 gallon) with liners
Breaker Box- located on the north wall in the basement (stairs to basement in hallway between small & main room)

Candles
Candles are allowed with the following restrictions
All flames must be enclosed in glass (i.e. holder with chimney or bowl around flame; hurricane-lamp style
No flammable materials within 12 inches of each candle holder
Piano
Upright Piano is tuned/repaired once a year in late spring
Directions to Peavy Lodge
From Corvallis, drive north on Highway 99W. From the intersection at Lewisburg Road, continue north on 99W about one mile and turn left onto Peavy Arboretum Road. The entrance to the Arboretum will be approximately ¾ mile on your left. Parking is available on the north side of the Lodge.
