  1. BANNER RESERVATIONS
    • The MU will accept reservations from OSU departments and Recognized Student Organizations to hang an exterior banner at the South Entry Porch of the MU Commons. The banner must be associated with a registered, open event. (see diagram below).
    • Dimensions: Banners must be of exterior grade canvas or vinyl, with metal grommets for hanging. The banner size shall not exceed 11 feet wide by 5 feet high.
    • Reservations may be made up to one year in advance, similar to the reservations for major event spaces in the MU. The reservation will be for a period not to exceed 5 days. Banners will be installed by the MU staff using plastic zip ties.
    • THE MU IS NOT LIABLE FOR DAMAGE OR THEFT OF BANNERS. Banners must be picked up within 1 day of the reservation’s expiration. The MU is unable to provide storage for banners not collected within 24 hours upon expiration of the reservation period.
    • All other banners on the exterior or interior of the MU are not allowable.
      Exceptions:
      • University-wide events, i.e. Connect Week, Graduation, etc., or events that require use of the entire MU facility.
      • Banners may be hung by the organization as approved by the MU Director on the day of the event.
  2. Back to TopBULLETIN BOARDS—GENERAL
    Dimensions: 58” x 33”

    The MU bulletin boards are all available to Recognized Student Organizations or academic units for the purpose of promoting their events or programs that fall within the recognized function of the University as an educational, cultural, and/or social event. The bulletin board policies shall be administered by the Director of the MU. The following policies are directed toward the utilization of posting on the bulletin boards.
    • The policies in the Schedule of Classes (Student Life Policy and Regulations) entitled “Regulations for Publicizing Student Events” will apply to material posted on bulletin boards.
    • Bulletin boards may be reserved by Recognized Student Organizations (RSO) or OSU departments for a period of two weeks per reservation. If the reserving party does not put up their display within the first 3 days of their reservation, the group forfeits the space and it may be used by another group for the remainder of the reservation.
    • Reservations will be scheduled on a two-week rotating basis. Reservations can be made by calling or visiting the MU Business Office Information Window.
    • Bulletin boards may not be reserved by one RSO or department and turned over to another RSO or department without prior approval from the scheduling authority
    • Materials placed on the bulletin boards must have a copy written in English, or in the case of foreign language exhibits, must be accompanied by an English language translation to ensure communication with the OSU community.
    • The MU is not responsible for the removal or handling of displays. The reserving party is responsible for the removal of their display at the end of their reservation. Any materials that have not been claimed and are left in the display case will be discarded. The University is not responsible for any loss or damage of material exhibited. Organizations exhibiting materials do so at their own risk.
    • In the designated space of each reserved bulletin board, cards will be provided by the MU for the following information to be displayed:
      1. The name of the sponsoring organization
      2. The name of the president (or other head)
      3. A current Corvallis phone number
    • Exhibit material not conforming to these policies may be removed from the bulletin board after notification of the sponsoring organization/department to give the reserving party an opportunity to remedy the situation.
      Exception:
      • Requests for exceptions to this policy may be presented to the MU Board of Directors for consideration

    • Procedure for Objectionable/Questionable Material
      If at any time a member of the University community objects to or questions any material placed in the MU bulletin boards or display cases, the question shall be directed to the MU Director. Formal objections that bring about a review of the material with the organization must be in writing and must be signed by the objector(s).

      The Director, or designated representative, shall discuss the concerns with the sponsoring organization or department and the complainant(s). The Director shall make a decision concerning the validity of the objection and attempt to resolve the issue. Any decision to remove material from a bulletin board against the wishes of the sponsoring organization must be discussed with the Vice Provost for Student Affairs and the University’s legal advisor. There will be no preview or review of materials prior to the time they are used in a display.

    Scheduling of the Distribution Counters 1-3 in the Student Lounge and Counter A near the Commons are done through MU Reservations

    Events sponsored by RSOs must first be registered online with Student Involvement Online by filling out the form at http://oregonstate.edu/getinvolved/resources/tools.html under “Event Registration Form”.

    RSOs, OSU departments, and affiliated program areas may reserve counter space for no more than three consecutive days per reservation. Consecutive days are exclusive of Saturday or Sunday, i.e. Friday, Monday, and Tuesday equal 3 consecutive days for the purpose of this policy. Each sponsor is limited to two 3-day reservations per term.

    While staffing events at Booths 1, 2, and 3, groups are allowed use of the wall behind their booth and temporary storage in the locked cabinet next to Booth 3. All posters must be removed from these spaces at the end of each event "day." Any materials placed in the storage cabinet must be removed at the conclusion of each event.

    Use of the wall space behind and the pillar next to Counter A is prohibited.

    Individuals seeking approval for their Recognized Student Organization (RSO) or for their OSU department to display a poster in the MU concourse must meet the following criteria before placing the advertisement.

    1. The group must be a current RSO and must be promoting a registered and approved student activity or be a University department promoting an all-university event sponsored by the department
    2. The on-going services of a RSO or department will not be eligible for display in the concourse, only those activities which are considered to be specifically promoting a singular event will be allowed.
    3. The maximum number of easels allowed for the advertisement of events is 6. All easels will be provided by a MU Business Office staff member after scheduling procedures have been completed.
    4. The posters must remain in the locations designated for easels, which are
      • East side of the stair landing in the rotunda
      • West side of the stair landing in the rotunda
      • East entry to the Main Lounge
      • The West pillar at the entrance to the Main Lounge
      • The East pillar at the entrance to the Main Lounge
      • West entrance to the Main Lounge on the concourse
    5. All other use of hallway posters for event promotion must be related to specific MU events in progress and are then limited to the entrance of the reserved room for that event. The scheduling of those display easels should be done in conjunction with the scheduling of the room.
    6. Posters are approved for a maximum of two weeks per event. No reservations may be made and all availability if subject to first-come, first-serve basis until all six easels are in use. Coordination of posters will be handled by the MU Business Office Staff.
    No materials may be left unattended; a representative of the sponsoring organization must be present at all times during the event.

    "The Wall" is a semi-circular display medium that may be set up, upon reservation, on the space between the marble stairs and Java Stop on the MU’s main concourse.

    DIMENSIONS: The Wall is approximately 8 feet high and 9 feet wide and is covered by a gray burlap fabric.

    Similar to the other display boards in the MU, it provides more opportunities for groups to put up informational materials in connection with an event, promotion, and/or celebration, which may include invitation for comments or signatures.

    To reserve The Wall, please observe the following guidelines.
    1. Scheduling and setting up of The Wall is done through MU Reservations in the MU Business Office.
    2. ONLY Recognized Student Organizations, OSU Departments, and affiliated programs may reserve The Wall for a period of two weeks.
    3. A rental fee applies to all users.
    4. The Wall cannot be reserved by one group and turned over to another.
    5. Staffing The Wall is NOT permitted.
    6. No extra furniture is allowed in front of or around The Wall.
    7. Users are encouraged to staple posters, butcher paper, or any flat surface, light- weight material to The Wall. A staple gun may be checked out from the MU Information window for this purpose.
    8. It will be the responsibility of the Contact Person to ensure that displays are promptly removed (Please note the last day of the display).
    9. The MU is not responsible for any lost or stolen material on display.

      Questions related to use of The Wall may be directed to the Reservations Coordinator or the MU Building Manager.

The Memorial Union Main Lounge Policy

Events that are planned for the Lounge affect the immediate vicinity of the Lounge and should be planned using these guidelines
  • The furniture in the Lounge may be arranged by MU personnel into settings conducive to the scheduled event. The furniture in the The Main Lounge will not be removed for temporary storage in order to accommodate major events. Major events should be planned for spaces such as the Ballroom, which are designed for such activities.
  • Scheduling of the Main Lounge is done through the MU Reservations office. Recognized Student Organizations must first register their event online with Student Involvement at http://oregonstate.edu/getinvolved/resources/tools.html under “Event Registration”
  • Music Event Rehearsals will be limited to specified days and times of low usage during the term. Currently, the Board recognizes Monday and Wednesday from 4:00-5:00 PM to be the best time for scheduling rehearsals. Performers for the traditional Thursday concert series would be allowed a period for warm-up and/or tuning prior to the scheduled performance
