Budget and Funding


Philanthropy Guidelines

  1. The philanthropy must be registered two weeks in advance at Student Involvement.
  2. The student organization shall be required to solicit a written statement from the beneficiary agreeing to the terms of the event and granting permission to use its name. Support information to be submitted to the beneficiary with this request includes date, time, nature and location of event, projected budget and anticipated donation.
  3. The registration will not be considered complete until:
    1. Copies of required correspondence, including the written document from the beneficiary referred to above.
    2. Any supporting documents required by Student Involvement staff are on file in the Student Involvement Office.
  4. If for any reason a member of the Student Involvement staff sees evidence to suggest that the event will not be successful and/or a reasonable donation will not be made to the beneficiary, the request shall be referred to the Student Activities Committee.
  5. All proceeds from the event must be deposited into the organization’s Memorial Union account.
  6. A completed financial report form must be turned in to Student Involvement within 10 working days of the event.
  7. A completed purchase order must be submitted by the organization for the amount of the donation. The proceeds will then be sent directly to the charity by U.S. mail from the Memorial Union Business Office.

Corporate Underwriting Policy

  1. Corporate Underwriting shall be defined as support from a commercial, profit or non-profit organization for an event sponsored by a recognized student organization. Support will include the donation of dollars and/or materials of monetary value provided to the student of an event.
  2. The sponsoring student organization shall provide, with the registration of events form, a signed agreement with the corporate underwriter outlining the physical and financial conditions placed on both parties for the duration of the event (attached).
  3. When the Corporate Underwriter is promoting alcohol and/or tobacco products, a dollar amount equal to ten percent of the total corporate donation, shall be placed in an assigned university account for the sole purpose of providing education.
  4. When the Corporate Underwriter is promoting alcohol and/or tobacco products, promotional material shall not, in graphic or written form, depict the actual use of the product.
  5. All promotional materials used in conjunction with the event will clearly indicate that the student organization is the sponsor of the event. The name and/or logo of the Corporate Underwriter shall not appear larger than 75% of the size of the name and/or logo of the sponsoring student organization on all printed material.
