Event Reporting - Voluntary Student Organization (VSO)

Volunteer Student Organizations are required to officially report all on-campus activities, events, programs that are open to more than club members, including all philanthropies and fundraisers, those with minors or vendor participation, alcohol and food service as well all University Sponsored Activities.

General meetings, executive meetings, organization member social and recreational gatherings, information tables, etc. do not need to be reported.

  • The first opportunity to report is a component of the Annual Registration process, the Student Organization Risk Survey. You will be asked to list all known annual activities, programs and events.*
  • Secondarily, you will need to submit an actual event report at minimum of 30 days in advance of the activity, event, program through the Student Organization Data Base to the Student Events and Activities Center. This posting will require a detailed outline of the activity which will allow you to identify areas that need consideration for special care as well create visibility to the broad OSU community through automated listing on the OSU calendar. This report will also allow Student Events and Activities to track the good work of your organization for consideration of recognition and awards. Special care around fundraisers, philanthropy, alcohol and food service, sponsored travel and sponsorship/participation by non-OSU individuals or minors are required.

*Activities that reoccur such as general meetings need only be reported once with notation of frequency of occurrence.
