The Student Events & Activities Program provides education, development and support to OSU students, student organizations, and OSU student lead programs.

Mission: To support the development of and provide resources to OSU student programmers and events/activities/programs while establishing an awareness of what it means to be an active global citizen in an open, just and celebrative community.

  1. Reservations
    To make a reservation, contact the Facility and Event Manager at OSU Conference Services. Contact Information is here

    If the event is highly complex, the students will be directed to someone better able to handle their request.

    Be aware that there can also be a labor fee involved

    A discount is available for student groups ONLY on the rental price of the facility. There is no discount on equipment/labor fees associated with the rental. Call LaSelles Stewart Center for more information (The number can be found on their homepage, listed above).

  3. Type of Events LaSells Stewart Center Accommodates
    This space is a good fit for large lectures, as well as concerts. Additionally there are smaller rooms available that can be used for a variety of events.
  4. Space Use/Building Policies
    Most activities are allowed, just be sure to provide detailed information when discussing the event.

    Groups are also allowed to bring their own equipment or have it delivered to LaSells up to seven days in advance.

    No food/drinks are allowed within Austin Auditorium, but there are other spaces that food will be allowed, such as the gallery.

  8. Other Important Information
    Contract Information
    LaSells will email the contract to the Student Organization, and need it to be returned with a deposit within 14 days. This is considered to be a commitment of the students that they want the space and will be using it at the date requested.
    After this point, they will be charged a cancellation fee.

    A student must sign the contract; an advisor’s signature will not be accepted.

    IMPORTANT - Keep copies of all documents sent!!!

    Facilities Meeting
    (1 month before event)
    Should come with the following information about the event:

    • Start and end times
    • Note the times that the organization will need to gain entry into the space
    • If using tickets: cost and distribution location of tickets

    Hearing Enhancement Services are available and will be supplied provided that the students give notice about disability needs.

    Special Payment Instructions
    The Booking Fee will be assessed for 50% of the estimated room rental. This is the deposit that must be returned with the contract via a Purchase Request*.

    A 15% Contingency Fee plus the remainder of the room costs plus any additional event costs must be in a second Purchase Request* on file with LaSells Stewart Center at least two weeks before the event.

    *Payment may also be made with cash or check

    Registering Event with LaSells Stewart Center
    After registering event with Student Involvement, please ask them to fax a copy of the completed registration form to The LaSells Stewart Center.

    After this has been completed, let OSU Conference Services know and include your event’s name, number, and date.


LaSells Stewart Center Space Schematics

Below is the facility size and configuration of LaSells Stewart Center. In addition to Austin Auditorium and Giustina Gallery, LaSells Stewart Center boasts a 200-seat lecture hall, five additional breakout rooms, and a luxurious boardroom.

All meeting rooms have full audiovisual equipment capabilities, from complimentary slide and overhead projectors to state-of-the-art laptop computers and data projectors. Most rooms have built-in control booths and white boards for your convenience, and custom room setups are their specialty.

Alcohol Service Policy

In order to serve alcohol at an event, the OSU Registration for service of alcoholic beverages form must be completed. This form can be found here PDF

OSU POLICY
Alcohol Service at Selected University Facilities
Beer and wine service is allowed on a permit basis at selected University facilities.

  1. Applications to serve alcohol must be approved by the OSU Business Services office no later than two weeks prior to the scheduled event. Renters who plan to utilize licensed servers who do not have their licenses on file with the OSU Business Services office are encouraged to submit their applications at least 30 days prior to the event. Procedural questions should be addressed to Judy Bacher at 737-4712. Proof of an OLCC liquor license or day permit and a $1,000,000.00 (one million dollar) liquor liability insurance policy naming OSU as additional insured must be furnished to Business Services at the time the application is submitted.
  2. It is the responsibility of the licensed alcohol server to curtail service of alcoholic beverages when necessary. The facility staff may curtail service of alcoholic beverages to anyone on the premises at any time.

Vending and Selling
Merchandise, books, or other goods may not be sold in LaSells Stewart Center without prior authorization. The seller will pay a 20% commission on gross sales.

Copyrights
All royalties, licenses, and copyright fees due as a result of renter's activities in University facilities are the renter’s responsibility. OSU shall be held harmless for any claims made against OSU as a result of renter's failure to pay any such fee.

Posting & Advertisements
Posting is permitted only with authorization from the Office of Conference and Special Events office. Advertising and promotions must include information for individuals with disabilities.

Austin Auditorium

Austin Auditorium Website
The 1200-seat Austin Auditorium is internationally known for acoustical excellence, with a fully equipped stage, dressing rooms, orchestra pit, and state-of-the-art sound and lighting. Austin Auditorium can accommodate a wide range of events, such as dance performances and general sessions. Past performances in Austin have included the Russian Ballet Company's Nutcracker Suite and Warren Miller's video extravaganza.

Outdoor Space on Campus

  1. Reservations
    Use of the many outdoor areas, such as lawns and parking lots on campus, are coordinated by OSU Conference Services.

  3. Types of Events Outdoor Space Accommodates
    A variety of events can take advantage of the outdoor space on campus such as runs, serving food, etc.

  4. Space Use/Building Policies
    If using any sort of sound for your event, the OSU Sound Use Permit must be filled out. OSU Conference Services will get the Sound Permit to the appropriate departments and notify the organization of acceptance.

    OSU Conference Services is NOT responsible for the following campus grounds:
    • Memorial Union Quad: The MU Quad is reserved directly by the MU. For more information see section labeled "MU QUAD".
    • Valley Library Quad: The Valley Library Quad is NOT AVAILABLE for groups to use unless special approval is given.
    • Intramural Fields: Intramural Fields are reserved directly by the Department of Health and Human Sciences in 123 Women’s Building. Contact this department for more information. Contact Information is here

CAMPUS GROUNDS USE REQUEST FORM

Instructions for submission of the Campus Grounds Use Request:

 

  1. Complete the Form (see below) with as much detail as possible.
  2. Submit Electronically: Submit completed form as directed. Submit forms for Alcohol or helicopter landings if applicable.
  3. Review: This form is sent to specified departments on campus for review and approval. The applicant may receive a response from a specific department asking for further information regarding the event prior to the department submitting an approval (details of a security plan from Public Safety, ground restoration efforts from Facilities/Landscaping, etc.).
  4. Notification: The applicant will receive an email notice of approval/disapproval from the Director of OSU Conference Services.

On- or Off-Campus Noise Control Policy

  1. Recognized student organizations must register any event to be held on or off campus if the event involves high volume noise the public might hear.
  2. Outdoor events that involve high sound levels (such as the use of amplified sound, musical instruments and crowd noise) must be authorized by the Student Involvement office and must be terminated by 11 p.m. unless a specific permit has been obtained.
  3. A person at the event must be designated to respond to noise complaints. If the noise cannot be controlled, the event must be terminated.

Ticketed Event Packet

The Educational Activities Ticketed Event Packet is designed to contain all the necessary forms to make the preparation for your event take place as efficiently as possible. It is necessary that you carefully read and fill out each form as accurately as possible. Found within this packet are the Ticket Guidelines, the ticket Submissions Form, a Ticket Record Sheet, and the Ticketed Event document. Please feel free to contact the Ed-Act Chair or the Ed-Act Faculty advisor if you or your organization has any questions.
