Invitations to President Ray and the President and Beth Ray
The following information is intended to help you make the appropriate contact in the President's Office and to provide guidance for planning your meetings and events that involve President Ray or the President and Beth Ray.
To invite President Ray to attend a University-sponsored activity or donor/prospect event, please e-mail your request to Elizabeth Grubb and include the details relevant to the event, such as:
- date, time and location of the event
- program or agenda
- description of the audience and their relationship with/to OSU
- estimated number of attendees
- length of President's time commitment
- reason for Dr. Ray's participation
- whether Dr. Ray is being asked to make remarks during the event
- the name and contact information (e-mail and mobile phone) of the person who will be responsible for President Ray during the event
Please indicate whether the invitation includes Beth and whether Dr. Ray's availability is the key element in selecting the date.
If the invitation includes a request for President Ray to deliver remarks at the event -- please include the proposed topic, length of time for the remarks, and when in the program they will be delivered. Please note whether someone will be introducing him and whether he will be introducing anyone. Typically, remarks are drafted by the hosting organization and sent to Elizabeth Grubb, President Ray's executive secretary, no later than seven (7) days before the event. It is helpful to include the names of anyone you would like President Ray to note whiel he is delivering his remarks. Please also note that any significant change in the event's format (e.g., informal remarks to formal speech, President Ray to give remarks to President Ray not to give remarks) should be communicated with Elizabeth Grubb in the President's Office.
If the invitation includes Beth Ray -- please e-mail a copy of your invitation to Beth (beth.ray@oregonstate.edu), copy Elizabeth Grubb and indicate how you would like Beth to participate. Since Beth manages her own calendar, taking this step will reduce our response time.
If you need a response immediately -- please let us know and we will make every effort to respond within your deadline. We make every effort to respond immediately, but most requests require communicating with both Rays and other university staff. The more information you include with your original request, the sooner we can respond.
Event/activity background materials for Dr. Ray and Beth -- please deliver to Elizabeth Grubb in the President's Office (6th Floor, Kerr Administration Building) at least seven (7) business days prior to the event, unless requested earlier to accommodate the Rays' travel schedule.
