Administering an Exchange/Study Abroad Program
Exchange/study abroad programs generally follow cyclical patterns, determining what needs to be done by the time of year. For programs that follow OSU's academic calendar (September-June), fall is often the time for publicizing the program, winter for selecting the OSU participants and spring for conducting pre-departure orientations for outgoing students and facilitating the admissions process for incoming students. If your program is in the Southern Hemisphere, the program likely follows a calendar year model (February-November), with publicity in the winter, selection in the spring and orientation and admissions activities in the fall.
International Degree and Education Abroad (IDEA) office provides each Category B administrator with an Exchange Administrator's Manual that includes timelines, key OSU contacts, sample forms and an explanation of the steps involved in running an exchange. IDEA staff conduct an orientation with new administrators to review the manual and answer questions about the various processes. IDEA staff are available to answer questions and provide guidance to all Category B adminstrators as needed.
