Hydrophiles Officer Job Descriptions
The job descriptions below are meant to serve as guidelines for current and future Hydrophiles officers. Officer roles are somewhat flexible and continue to evolve, so these descriptions should be updated at least once per year. It is critical that outgoing officers share their expertise with newly elected officers during spring quarter so that a smooth transition is made. A good hand-off is especially important for maintaining the email list and website.
Because of widely varying skill in web authoring, web maintenance is not assigned to a particular person. One or more of the officers and members should take on web work as it fits their interest and experience. Besides being an important means of publicizing our activities, the website also serves as the archive of what we've done, which is an important asset for any group with lots of student turnover. Website maintenance should be timely and ongoing so that students and faculty will not waste time browsing and lose interest in it. The Meetings pages will require the most frequent updating. Field trip leaders should be responsible for authoring the trip narratives and scanning the photos; they may post the material themselves or turn the files over to an officer who is working on the web. More on duties of field trip leaders can be found under the field trips page.
President
The president is the overall leader and sets the meeting agenda, time, and place. The president also coordinates activities and helps the committees and trip leaders with their projects. The president typically represents Hydrophiles in discussions with other organizations, such as OSU Student Involvement, AWRA, and AIH.
Vice-President
The vice-president serves as back-up to the president when the president is unable to perform their duties. The vice-president also typically plays important roles in planning club trips and activities.
Secretary
The secretary records meeting minutes and forwards them to the president for revision. The secretary also maintains the HYDRO email list, which involves approving and correcting new subscription requests, and updating listserv specifications. One other officer should be appointed as backup maintainer for the email list.
Treasurer
The treasurer accepts and deposits member dues at Memorial Union, disburses funds for Hydrophiles activities, and maintains the club ledger.
Web Manager
The web manager maintains the hydrophiles email mailing list updates the web pages.
