Instructions for Catering Hydrology Seminar Series

Catering a Hydrology Seminar involves buying an interesting selection of items, setting it up in ALS 4000 by 3:30 pm, and cleaning up afterwards. The process requires about 1 hour and 15 minutes before the talk, and about twenty minutes afterwards. Please note:

Checklist of food and drink items

bakery items, such as pastries, cookies, cakes, doughnuts
small fruit and veggies, such as strawberries, grapes, baby carrots
juice
soda pop
2 airpots of coffee
1 airpot of decaf coffee
1 airpot of hot water
tea bag assortment
hot cocoa mix
hot and cold cups
half-pint or pint regular milk
non-dairy creamer
sweetener
sugar
stirrers
napkins
small paper plates
spoons
forks

Task sequence

  1. Go to Bioresource Engineering office (Gilmore 116) and tell Penny or Elena that you are doing the seminar catering that day. They will let you into the staging room, John Selker's lab.

  2. In the lab room, go over the checklist and identify items that you will need to purchase. Please determine if anything needs to be replenished and add it to your list. Most, if not all, of the supplies other than fresh food items should already be in stock for you.

  3. Put 20-25 cans of soda on ice in the red cooler, and put one juice bottle on ice in the blue cooler. An ice machine is located down the hall.

  4. Go shopping. Spend $20-$40 on bakery and produce items, plus whatever other supplies are missing. Albertson's is the recommended store because they are the only supermarket in Corvallis that still takes OSU accounting index numbers. At the check-out stand, say you want to do an OSU charge, and clearly print the following information on the charge slip:

    Your name, and the words "Hydrology Seminar"
    Bioresource Engineering
    116 Gilmore Hall
    Oregon State University
    Corvallis, OR 97330

    The index number to charge to is "AGD 680 AHSS." The cashier may ask to see your OSU ID to verify you are affiliated with OSU.

  5. By 3:15 pm, start loading all of your food, drink, and supplies onto the red metal cart in Selker's lab room. Don't forget to rinse the fruit.

  6. Roll the cart over to the back of the ALS building, where there is a convenient freight elevator. Room 4000 is at the far end of the hall on the fourth floor.

  7. Set out your snacks and drinks on the tables in the back of the room.

  8. After the talk, collect aluminum cans for recycling and clear trash from tables. Return supplies and empty cans to Selker's lab. Dump ice water from coolers, and set down with lids ajar so they will dry inside. Leftover pop can remain in the cooler. Dump airpots and rinse with fresh water. Take home or give away any leftover fresh food and drink items.
