OSUEA Awards and Recognition Committee
Report to the Board o December 12, 2002

After assuming the chair from Brad Jeffreys in early 2002 when he unexpectedly took LWOP, I sent e-mail messages to all Extension faculty and staff to help people start the nomination process before the deadline. Committee members met in mid-August to select recipients. We received 20 nominations this year, but we did not receive any for the OSUEA Professional Faculty and Oscar Hagg Extension Communications awards.

Because Annual Conference was cancelled this year, we announced the awards during the Extension Director's Teleconference on Monday, November 26. Feedback from on- and off-campus viewers was positive. The plaques or certificates were sent to the nominator and/or immediate supervisor prior to the teleconference for on-site presentations. The award included a congratulatory letter from OSU President Paul Risser.

Several committee members wrote the announcement summaries that were modified and placed on the OSUEA Web site. The site also includes a link to the streaming video of the awards portion of the Teleconference. Judging from comments about the time-delay during the streaming video, we must have had a large number of "live" viewers! Donors of the OSU Extension awards were notified of the selection and the number (or lack) of nominations. Individuals selected for the award were given instructions to set up accounts and encouraged to acknowledge the donors. Summaries of last year's Hoecker Grant Program will be placed on the OSUEA Web site in early 2003. All packets for individuals not selected were returned to the nominators. The Committee is considering criteria changes in several categories and will make proposals to the Board at a future date. Depending on the actions, the Awards pages of the Web site may need updating before this year's solicitation of nominations.

As in the past, the Committee asks Board members to encourage their co-workers to prepare nominations. Although we received additional nominations in the Newer Faculty this year, there was only one nomination in the Experienced Faculty category. We hope to see increased number of nominations in all categories in 2003.

The budget request for these awards depend on the number of recipients in the Newer and Experienced Faculty awards (up to 5 recipients per category; other OSUEA categories currently are limited to one recipient). Based on the past 2 years, I estimate $950 to cover our costs (note: R3 Engraving and Signs in Corvallis historically discounts their engraving fees to keep costs reasonable). OSU Foundation accounts pay the costs of plaques, engraving, and cash awards for OSU Extension awards.

My last activity as committee chair will be to share electronic and paper files with Carole Smith, incoming chair. Dan McGrath, vice chair.

The OSUEA4-H Affiliate currently has 65 members-2002 year. This includes 11 Life members, 5 new members and 49 renewals. In 2003 we have added another life member with Greg Mitchell's retirement.

Items of Concern:
1) Please include the total report from the affiliates in the minutes. (Example, the August 20 meeting minutes indicate Holly Berry gave a brief report, but the report was not in the minutes, so if a board member was not there, they don't know what was said. A written report could be submitted to the secretary to save their writing arm! Then they could retype it?) 3) DRAFT: Revenue Generation Principles OSU Extension Service
If you have not seen this document, Woody will distribute a copy. I would urge the board to read it and consider whether it's appropriate for the board to make a formal statement to Administration regarding the contents of the report. I would draw your attention to General Principles, number 4.

4). OSUEA New Employee Information Packet. Does OSUEA have an Association information packet they distribute to new employees? (I know-who is hiring?!?!) Pennsylvania has a "packet" which includes a Welcome letter, their Assn. brochure, their National Assn. brochures, etc. Might help with our membership? We could include Affiliate brochures, national assn. brochures, application for membership, payroll deduction form, etc. (Just a thought.)

OSUEA Professional Development Committee Report 12-12-2002
The committee leadership for 2002 was:

In addition to the above, the Chair or representative of the affiliate Professional Development Committees were asked to serve in a coordinated leadership and advisory role. The group did not meet because Annual Conference was cancelled. I recommend that the new chair ask for representatives for 2003.

Fund Raising Committee
The Fund Raising Committee, under the leadership of Alice Voluntad was prepared to organize for the 2002 Annual Conference until it was cancelled. Board members were asked to consider providing an item for the raffles. They are asked to make contacts with other colleagues and counties to encourage their participation with raffle items. Also ask everyone to consider a contribution or payroll deduction during annual conference. Retirees are being contacted to consider a contribution. Last year the committee raised a record of more than $10,000. This was our goal this year.

With cancellation of Annual Conference the committee did an email solicitation. At this time we do not have information from the OSU Foundation on the results.

With the shift of the Professional Funds to Extension Administration and fund raing being handled through the OSU Foundation we are not sure of the role of OSUEA in fund raising in the future. This needs to be clarified and it may be determined that this sub committee will not be needed.

Search for Excellence
Janice Gregg had an excellent committee that confirmed willingness and ability to work on this committee. With cancellation of Annual Conference the committee decided to go ahead and call for applications with Search for Excellence Awards being made and the abstracts being placed on the web. It is hoped that the selected recipients will be able to do a presentation in 2003 at Annual Conference if it is held. The selected recipients were:

Janice is looking for someone to take the leadership of this committee as she is taking on the FCS affiliate presidency. There should be someone on the committee willing to take over.

Poster Program
The Poster Committee made great advancement under the leadership of Susan Aldrich-Markham. She submitted a revision of the Poster Program Criteria to Terry Palmer to be placed on the OSUEA website.

The Poster Program was cancelled for 2002.

Susan will be assuming Chair of the Professional Development Committee therefore is looking for a new sub-chair. Last year Gail Andrews said she would be willing to be the Poster Session Chair for 2003. Susan is confirming if Gail is still interested.

PILD
Two OSUEA members (Mike Bondi and Susan Aldrich-Markham) supported by the OSUEA participated in the 2002 PILD Conference in Washington D.C.

Spring Newsletter, 2002

President's Message


Greetings from Oregon's beautiful South Coast! I'm enjoying the sunshine and the breezes here on the beach - hey, better than all that rain! I guess it doesn't matter where you go in this great state; there are always wonderful things to do and see. Make sure you take advantage of living in this beautiful country - get out and enjoy it.

It's a busy time of the year - figured we can all relate to that! I'm preparing to direct another 4-H camp (my camp name is Hawkeye this year), with pre-Fair, County Fair, and State Fair activities to follow.

Your OSUEA Board met on Campus June 6th , so I thought I'd begin this newsletter with a little update from this meeting. Much of the discussion was centered on how OSUEA can best serve you, the members. We re-visited the Mission Statement and talked about the advantages of being an OSUEA member. Besides the elected Board officers and Directors, there are a variety of committees that are actively working to make our Organization an effective one. We learned that OSUEA is a rather unique organization - the only one of its kind in the country!

Committees are working hard in preparation for the upcoming Extension Service Annual Conference. This professional development opportunity will be held on September 17-19th in Corvallis. In addition to department and college meetings, the esprit de corps committee is planning a golf event, so plan to participate in all the activities you can during that week.

Lastly, I encourage you to nominate deserving colleagues and cooperators for recognition during Annual Conference. It is a good time to recognize these deserving people for a job well done. The awards and Recognition Committee will provide details.

The Awards pages OSUEA Web site were update in mid-May based on changes approved by the Board in December 2002 (thanks to Duane Johnson for his text review and Terry Palmer for uploading the files). The new criteria is pointed out on the home page and again on the individual awards pages. Check out the changes (osu.orst.edu/dept/osuea/ then "Awards").
Recruiting Nominations

Evie visited with the Extension Cabinet on May 13 to encourage nominations. Debbie Maddy reported that chair agents and program leaders were reminded to nominate staff and faculty during regional performance evaluation meetings earlier this year. The Cabinet also reviewed the Awards listing to familiarize themselves with categories and plan to encourage supervisors and co-workers to nominate people.

The Committee asks all Board members to work with their co-workers to encourage nominations for all awards--especially those that have not been awarded in the past few years (OSUEA New Faculty Achievement, OSUEA Professional Faculty, and Hoekcer Continued Service for Experienced Faculty). Donors have asked why we are not receiving nominations and awarding the funds. Our goal is to receive nominations for all categories. Deadline is 5pm on Friday, Auguest 2, 2002.

Later this month, Carole will send e-mail messages to department heads and Extension faculty and staff to start people thinking about nominations. We are starting 2 months later than last year when we received 24 nomination packets, but we think monthly e-mail messages will be effective again this year.

USDA Awards Program
Extension Administration has asked the Committee to continue overseeing the nominations collections process for the USDA Awards (Distinguished Service and Superior service awards, Cooperative Extension System Annual Award for Diversity). Although the Committee has not received nominations in recent years, the protocol is for nomination packets to be shared with the Committee by the August deadline, but because of conflicting USDA deadlines the Committee will work with the nominator(s) to refine and submit the nominations the following year.

4-H Association:
Our national conference will be in Norfolk, Virginia October 27-31. Those being honored this year are:

ANREP
Association of Natural Resources Extension Professionals (ANREP) report to the OSUEA 15 April 2002 Submitted by Michael Robotham, state representative for Oregon Background: ANREP was founded in 1996 by a group of natural resource specialists interested in increasing the cooperation, communication and networking among the diverse professionals working in natural resources extension. ANREP was not designed to usurp other professional groups or associations. It was visualized to be a formal association that institutionalized cross-discipline programming. To this end, membership dues for the organization have remained low ($25/year) to make it easier for members to belong to multiple organizations. Membership: ANREP has a total of 292 active members. Oregon (OSU) has the most members of any state with 33. Most OSU members come from the areas of forestry or watershed extension. However, members also include agriculture and 4-H faculty as well as several administrators. Viviane Simon-Brown from Forestry also serves as West Region representative on the ANREP Executive Council. Upcoming events: "Revolutionizing or Evolutionizing Extension Programming", the 3rd Natural Resources Extension Professionals Conference will be held from June 2-5, 2002 in Naples, Florida. OSU faculty are well represented in both the oral presentation (5) and poster session (2) including a Pre-conference Workshop entitled "Intelligent Consumption" facilitated by Viviane Simon- Brown from the Extension Forestry Program.
