Document Management Project (DMP)

OSU is undertaking a strategic effort to upgrade its administrative information processes through the use of document management technology. OSU plans to purchase and implement a document management system that supports this new vision. The pilot project will implement a document management solution in administrative areas for admissions, financial aid, registration, records, finance, human resources and archiving functions.

Project Goals and Objectives

Project goals and objectives include the following:

1. Streamline workflow associated with processing and verifying transaction based forms.
2. Improve staff productivity through on-line retrieval of imaged documents.
3. Improve overall customer service by creating easier and faster access to documents for administrative office employees as well as increased access for campus-wide audiences in a secure manner.
4. Increase security by eliminating transfer of paper files.
5. Electronically match new images to existing image sets eliminating the 'stray' paper document issue.
6. Provide data processing/workflow metrics to allow for better informed business decisions.
7. Replace current cumbersome and costly microfilm archive process.
8. Provide the ability to more accurately and easily purge documents to comply with required record retention rules.
9. Develop information management that is scalable to the changing enterprise needs and will allow for future automation including but not limited to electronic routing, approval, and upload of data to the enterprise software.
