Timeline for Program Planning

This information may be used when planning for a group program.

Sponsor Responsibilities
DSP Responsibilities

6 months to 1 year before program

• Contact OSU's English Language Institute and the Division of Special Programs (DSP) for information about programs

• Outline type of program needed including dates of program,hours of instruction, maximum and minimum number of students expected to participate, and whether grades or credit are required. Also include services desired such as airport pickup and delivery, conversants, homestays, weekend trips, and any other details

+Prepare a proposal, calendar, and budget for program

+Contact housing for availabilty


6 months to 4 months before program
• Accept budget and proposal
• Advertise program
• Recruit students
• Advise ELI/DSP of number of students

• Have participants apply for passports
• Arrange for visa interviews with US Embassy

• Hold information meetings for participants

+Send contract and invoice

+Develop curriculum
+Assign Program Director

+Finalize housing 
+Arrange transportation

+Send applications, health forms, conversant and homestay forms for participants
2 months to 4 months before program
• Sign and return contract
• Return completed student forms


• Arrange for flights to Portland International Airport
•Inform DSP of time and number of flights
• Inform DSP about chaperones and housing required
+Send I-20s to sponsor
+Send pre-departure information

+Arrange for site visits, classrooms and guest speakers

+Assign instructors
+Assign biligual assistant if needed

+Make reservations for events

+Recruit homestay families and conversants if needed

+Arrange for chaperone housing and needs
2 months to beginning of Program
• Hold pre-departure orientation meetings
• Send a 10% deposit one month in advance

• Pay balance at beginning of program

+Set up account
+Finalize calendar

+Have contract approved by OSU Contract Office


During program
• Maintain contact with DSP
+Orient participants to OSU and Oregon

+Hold welcome reception,
+Conduct classes and trips

+Have students do program and teacher evaluations
+Hold farewell reception

After program
• Review program evaluations
• Discuss changes for next year's program

+Send final reports, grades and program evaulation results to sponsor
+Debrief program with staff
