
Roles in Writing PDQs:
Individual Employees are responsible for ensuring that:
- PDQs are complete and reflect manager input prior to submission
- Reference documents (e.g., job description specifications) are utilized when available to ensure completeness of PDQs
Managers are responsible for:
- Ensuring all PDQs within their department have been completed
- Signing off on completed PDQs of their direct reports
- Ensuring that employee and manager have consensus on PDQ information being submitted
Business Center HR Managers will be responsible for ensuring that:
- PDQs have been reviewed and discrepancies addressed
Purpose:
The PDQ process allows employees and supervisors to describe the important elements of work, and responsibilities that become the basis of Job Description Specifications:
- Support the overall compensation program development:
- Clearly defines roles, responsibilities and accountabilities
- Establishes foundation of OSU’s job structure and provide staff with clear job progressions
- Defines how staff might develop toward their own professional/career goals and meet the needs of OSU
- Provide the foundation for:
- Compensation Management
- Performance Appraisals
- Recruitment
- Staff Development
- Compliance with State, Federal, and other regulations
Benefits:
The PDQ Tool is developed in a format that:
- Is a web-based tool that is easy to complete
- Is not highly dependent on individual writing styles
- Collects the same type of information for all positions in a clear, consistent format
- Can be used on an on-going basis when jobs change significantly or new jobs are introduced and revised or new position descriptions are necessary
OSU and Sibson consultants will work together to ensure all critical information is captured to support the development of current and accurate Job Description Specifications.
PDQ Process:
1. Complete Individual PDQ
- Individual employees are responsible for making sure PDQ’s are completed
- PDQ Training Session: How to Complete the PDQ Questionnaire to Help with the Creation of Accurate, Effective Job Description Specifications
2. PDQ Review by Manager / Supervisor
- After consolidation of PDQ data into position descriptions, managers review content of PDQ and discuss with employee
- Manager Training: Reviewing Position Descriptions
3. PDQ Review by BCHR and Department Heads
- Department Heads are responsible for making sure all PDQ’s in the department have been completed and discrepancies have been addressed
- Review to ensure position description does not under- or over-estimate duties
- Assess and identify like position descriptions to use in creating updated job description specifications
4. Consolidation with like position descriptions into job description specification
- Jobs with similar responsibilities, and required skills, and experiences will be grouped together
5. Job Description Specification Review by Business Center HR and Department Heads
- Review to ensure captures generic duties of job at the Institution
- Some job description specifications will cover multiple incumbents. Others will cover a single incumbent
6. Final Job Description Specification
- Output to be used in hiring, job categorization and market analysis
The result is a complete, up-to-date set of OSU Professional
Faculty job description specifications for ongoing administration.
