The importance of Events at OSU:
Events on the OSU campus, whether coordinated by a department, unit, student group or the office of University Events, reflect on the entire university. Your event could be for an interview candidate, to thank a generous donor or to show appreciation to members of your faculty and staff. As an event coordinator, you have the opportunity to make a great impression! Take advantage of this by putting on the best event possible.
Planning:
Our mission is to help you produce a professional and successful event. To do that you must allow yourself sufficient time to plan. What does this mean? Start your planning at least three months before an invitation event. Start early to line up venues, vendors and design printed materials. If you are planning a conference or working with an off site location, you may need to secure venues up to two years in advance. What is easy if you make arrangements now can make you a nervous wreck and cost you a fortune in rush charges if you wait too long. Check out 'Tools for Planners' on the left of this page for a sample timeline.
Resources:
University Events is your resource for many aspects of event planning. With more than 23 years of combined event planning experience, we can guide you to information that will help to ensure that all the little details are considered. We can also suggest on-campus resources that will save you time and money while you present an exceptional OSU event. 'Resources for Planners' provides links to some of the major venues and vendors on campus.
Help from a real person:
We are here to assist you with your event questions which may be emailed to shelly.houghtaling@oregonstate.edu. She will answer your inquiry or put you in contact with the office that can assist you. You can also call 541-737-0724. Information from University Events includes, but is not limited to, advice on protocol, proper room arrangements, and composition of invitations.
President and Mrs. Edward J. Ray:
University Events coordinates all events hosted at the home of the president along with many of the events hosted by the Office of the President on campus. Contact the University Events office if you have questions concerning events involving the president and his wife. The two links below may answer many of your questions.
Success:
There is usually at least one surprise for every event planner at an event. Your job is to be as prepared as possible for these surprises. In the world of events, the more you plan and think through the event and its possibilities, the more successful your event will be.
